Tax Form Assistance and Updates

Payroll Services is available to help employees with tax form setup and understanding tax withholdings. Updating your tax forms is quick and easy through Oracle Employee Self-Service.

2025 Exempt Tax Status

Annual Tax Exemption Renewal Requirement

Employees who claim exemption from federal and/or state withholding are required to submit a new W-4 form (and/or applicable state form) by February 15 each year.

To maintain your exempt status for the 2024 calendar year, you must update your federal and/or state tax forms in Oracle Employee Self-Service by February 15, 2025.

If you do not submit updated forms by this deadline, your withholding will default to Single with zero allowances (Single 0).

Please note: If you submit an updated W-4 or state form on or after February 16, the exemption will apply only to future wages. Taxes already withheld will not be refunded.

2025 Social Security Tax Limit

The Social Security wage base limit for 2025 is $176,100. Earnings above this amount are not subject to Social Security tax.

This application is designed to help employees ensure the correct amount of income tax is withheld from their pay—neither too much nor too little. You can use the results to assist in completing a new Form W-4.

If you wish to recalculate federal tax withholding for a specific paycheck, please note that the IRS does not provide an online calculator for that purpose. Instead, you may refer to IRS Publication 15, which includes rate tables to help you perform the calculation manually.

District of Columbia
A DC-specific tax calculator is not available. However, the link below directs you to the DC Office of Tax and Revenue website, where you can find helpful information such as DC tax rates, average salaries, and other tax-related resources.

Virginia Calculator
This application is used to calculate the amount of tax to withhold from an employee’s wages. To use the tool, employees must know their taxable wage amount and their tax withholding setup.

W-2 Avaiablity and Mailing Information

W-2 forms are available online through Oracle Employee Self-Service. Printed W-2s are mailed during the last week of January.

Employees will receive their W-2 at the mailing address listed in Oracle as of December 31. To verify your address, check your paystub or log in to Oracle Employee Self-Service and select Personal Information. If your address is incorrect, you can update it directly in Oracle.
